Administrative Assistant - Construction Project Estimation

We offer you the opportunity to join a SME on the South Shore of Montreal, recognized for its human approach and the quality of its projects in the construction sector. In this key position, you will be involved in the management of tenders and bids, while providing essential administrative support to operations. Your expertise in estimation will directly contribute to the success of projects and the fulfillment of the company's commitments.

Tasks:

  • Ensure the follow-up of invitations to tender and confirm the company's participation.
  • Prepare, open and analyze bid files, ensuring their compliance.
  • Manage the coordination of documents related to consents, deposits, and proof of insurability.
  • Support the team in the preparation and follow-up of tenders and bids.
  • Plan and organize the team's participation in site visits.
  • Keep track of tables and documentation related to bids.
  • Produce and complete required documents (forms, schedules, letters, contracts, etc.).
  • Carry out the necessary steps for bonds, letters of intent, and insurance certificates, and ensure their follow-up.
  • Process additions and modifications to files (addenda, questions/answers) and ensure their dissemination to the team.
  • Collaborate in the revision of contractual clauses and update annual administrative documents.
  • Carry out various administrative support tasks, including coordination and billing.

Requirements:

  • DEP or DEC in administration, office automation, accounting or related field, or equivalent combination of training and experience.
  • Minimum of 5 years of experience in a similar role.
  • Familiarity with environments related to construction (industrial, residential or manufacturing).
  • Good understanding of project management principles.
  • Excellent command of French, both oral and written.
  • Good command of Microsoft 365 suite tools.
  • Knowledge of Maestro software and PDF tools (assets).

Salary: Between $50,000 and $65,000 annually, negotiable depending on experience. Schedule: Daytime, Monday to Friday, 40 hours per week, from 7am to 4pm. Status: Permanent.
